The ATS-Friendly CV Checklist: 12 Checks Before You Apply

Twelve practical checks that help your CV get parsed correctly by applicant tracking systems and read properly by a human recruiter, wherever you are applying.

Most medium and large employers use an applicant tracking system (ATS) to collect and search applications. An ATS does not usually reject you on its own, but a CV it cannot read properly can end up incomplete, mis-sorted or hard for a recruiter to find.

The fix is not to stuff your CV with keywords. It is to make it easy for software to parse and easy for a person to scan in under a minute.

Layout and format

  • 1. Use a single-column layout. Tables, text boxes and side columns are often read out of order.
  • 2. Use standard section headings: Profile, Experience, Education, Skills, Certifications.
  • 3. Keep contact details in the main body, not in the header or footer.
  • 4. Use a common font and avoid icons or images in place of words.
  • 5. Submit the file type the employer asks for. If there is no instruction, a text-based PDF or Word file is usually safe.

Content and keywords

  • 6. Mirror the exact job title and core skills from the advert where they are true for you.
  • 7. Write both the acronym and the full term once, for example "Customer Relationship Management (CRM)".
  • 8. Put your most relevant skills in the top third of the first page.
  • 9. Start each bullet with an action verb and include a result: what you did, how, and what changed.
  • 10. Add numbers wherever you can: revenue, users, time saved, team size, budget.

Final checks

  • 11. Tailor the profile and top bullets for each role. One generic CV for every application is the most common reason for silence.
  • 12. Save a plain-text copy and paste it into a text editor. If it reads in a sensible order, an ATS will usually read it too.

Country conventions matter

Expectations differ by market. UK and many European employers generally expect a CV without a photo, date of birth or marital status, while conventions in some other countries differ. US employers usually call it a resume and prefer one page for early-career candidates. Check the norm for the country and sector you are targeting.
